There is no charge for the use of electricity, however, exhibitors will need to provide their own extension cords or power strips.

Internet: WiFi is available at no cost in the conference center.
Power: Electricity is INCLUDED in your registration fee. No additional cost, bring your extension cord and tape to secure the wire to the floor.
Move-in: Thursday, March 27, 6 pm to 10:00 pm
Exhibition: Friday, March 28 and March 29, 7 am to 5 pm
Move-out: Saturday, after last speaker. Must be out of the exhibit area by 9 pm.
Exhibitor Requirements
- We must know in advance what you will be vending. This will help us avoid duplication of products (e.g., MLM goods). When you submit your booth request, please include a brief (100 words or less) description of your company’s products, devices, and/or services for promotional purposes. Please include Logo.
- Subletting booth space is not permitted.
- If your booth generates any excess amount of trash, you must supply an additional small waste container.
- Your booth set-up may not block or cover another exhibit, hallway, or exit.
- Each exhibitor will indemnify, defend, and hold harmless the International Academy of Biological Dentistry and Medicine from any and all incidents, claims, demands, defense costs, liability, expense, damages to the fullest extent of the law, in any way related to this event, including claims based on alleged negligence.
Shipping to the Hotel
Any packages may be shipped to the hotel in care of the IABDM and YOUR NAME. You MUST label each box with the group name and your name and date of the convention. Shipments are to be addressed to Lakewood Resort and Spa 101 Lakeway Dr, Lakeway, Texas 78734

Deliveries
CONFERENCE SHIPPING AND RECEIVING
The Hotel is not responsible for any arrangements or expenses associated with the shipping of materials, merchandise, exhibits or any other items to and from the Hotel. The Hotel must be notified (3) days in advance, and any consignments shipped to the Hotel should include the following information on the package: “Attention: (onsite contact to collect package), along with the organization/conference name and arrival date. Materials will only be received 3 days prior to the event date. All box deliveries will be charged a fee of $5.00 per piece. Should Hotel labor be required to load or unload shipments, labor will be charged at $50.00 per person, per hour with a minimum charge of $200.00. Should the Hotel be required to rent equipment to assist in the loading or unloading of equipment (forklift, additional hand trucks, etc.) any and all charges will be billed to the vendor.
The handling fee will covered by the IABDM will cover the following services:
- Receiving shipments
- Secured storage
- Distribution of meeting materials to and from meeting room locations.
- Repackaging and shipping (freight charges not included)
- Handling fees will be charged to the Master Account as follows:
- 0lbs – 5lbs Complimentary **
- 6lbs – 20lbs Complimentary **
- 21lbs – 50lbs Complimentary **
- Over 50lbs Complimentary **
- Crates/Display cases: Complimentary **
- Pallets: $75 per pallet
- Pallet Storage: Shipped more than 3 days prior to conference, additional $25 per day
- After your event, any boxes to be shipped out of the hotel must be properly packaged and labeled with shipping address, return address and you have arranged for pickup with the appropriate carrier.
- The hotel is not responsible for packing or for supplying any packing materials. Any materials left behind without shipping instructions will be discarded within three business days.
THE IABDM IS NOT RESPONSIBLE FOR THEFT. IT IS YOUR RESPONSIBILITY TO STORE ANY VALUABLES YOU MAY BRING.
